How emails work in Get Let Flow
Get Let Flow sends 27 automated emails across two categories:
- Scheduled emails — run daily at 8 AM and check your portfolio for upcoming deadlines, expiring documents, overdue actions, and weekly summaries.
- Triggered emails — sent instantly when you or your tenant take an action, like logging rent, serving a certificate, or reporting a maintenance issue.
Every email includes a legal disclaimer footer and a link to our Privacy Policy. Tenants can manage their email preferences from the tenant portal.
Scheduled emails to landlords
These run every morning. You only receive them when something needs your attention.
1. Certificate expiry alert
Sent when a certificate (GSC, EICR, EPC) is approaching its expiry date.
- 60 days before expiry — early heads-up
- 30 days before expiry — renewal reminder
- Daily in the final 7 days — urgent countdown
- Daily when expired — includes penalty warnings
2. Certificate expired alert
Sent when a certificate has passed its expiry date without renewal. Includes relevant penalty information (e.g. criminal offence for expired GSC, up to 30,000 pound civil penalty for expired EICR).
3. Deposit protection deadline
Sent when a tenant's deposit protection deadline is approaching.
- 7 days before the 30-day deadline

- Daily when overdue — includes penalty warning (1-3x deposit amount)
4. Insurance expiry alert
Sent when a tracked insurance policy (buildings, contents, liability, or rent guarantee) is nearing expiry.

5. Right to Rent reminder
Two scenarios trigger this email:
- Unchecked tenants — reminders at 7, 14, and 30 days after tenancy start if no Right to Rent check has been recorded
- Expiring checks — reminders at 30, 14, 7, and 1 day before the check expires
6. Rent chaser
Sent when rent has not been logged as paid after the due date.
- 1 day after due — gentle check-in
- 3 days after due — follow-up reminder
- 7 days after due — includes arrears guidance and Ground 8 threshold information
7. Awaab's Law alert
Sent daily for any maintenance issue flagged as damp or mould that has been open for more than 48 hours. Continues daily until the issue is resolved.
8. Inspection reminder
Sent once for any inspection scheduled within the next 14 days. Reminds you to prepare and confirms the tenant has been notified.
9. Weekly compliance summary
Sent every Monday morning to landlords only. Summarises your entire portfolio:
- Properties with expiring or expired certificates
- Outstanding maintenance issues
- Upcoming inspections
- Deposit protection status
- Overall compliance score
Triggered emails to tenants
These are sent instantly when you take an action that affects your tenant.
10. Tenant portal invite
Sent when you add a tenant's email address. Contains a magic link to access the tenant portal where they can view documents, report maintenance, and check rent status.
11. Section 13 rent increase notice
Sent when you generate a Section 13 notice. Includes the full notice with current rent, proposed rent, effective date, and the tenant's right to refer to the First-tier Tribunal.
12. Section 8 possession notice
Sent when you generate a Section 8 notice. Includes the full notice, the ground(s) for possession, notice period, and clearly states the tenant is not required to leave without a court order. Directs tenant to Shelter, Citizens Advice, and their local council.
13. Certificate served
Sent when you serve a certificate to a tenant (GSC, EICR, EPC, etc.). The certificate document is attached to the email.
14. Document served
Sent when you serve any other document to a tenant (e.g. How to Rent guide, tenancy agreement). The document is attached.
15. Tenancy starter pack
Sent when you send the full tenancy starter pack. Includes all required documents in a single email: tenancy agreement, GSC, EICR, EPC, How to Rent guide, and deposit protection certificate.
16. Inspection scheduled
Sent immediately when you schedule a property inspection. Includes the date, time, and property address. Acts as the tenant's notice of entry.
17. Inspection rescheduled
Sent when you change an inspection date. Includes the new date and notes the original date was changed.
18. Rent acknowledgement
Sent when you log a rent payment as received. Confirms the amount and date recorded, giving the tenant a receipt of payment.
19. Maintenance acknowledged
Sent when a maintenance issue is logged (whether by you or the tenant). Confirms the issue has been recorded and is being tracked.
20. Maintenance resolved
Sent when you mark a maintenance issue as resolved. Lets the tenant know the issue has been addressed.
Triggered emails to landlords
21. Welcome email
Sent when you complete onboarding. Includes a quick-start guide and links to key features.
22. Maintenance reported (tenant portal)
Sent when a tenant reports a maintenance issue through their portal. Includes the issue description, category, urgency, and any photos the tenant attached.
23. Contract fully signed
Sent when all parties have signed a tenancy agreement via e-signature. Confirms the signed document has been saved to the property record.
24. Ad-hoc document signed
Sent when all parties have signed an ad-hoc document (any PDF sent for signature outside of tenancy agreements). Confirms completion and storage.
25. Payment failed
Sent when a subscription payment fails via Stripe. Includes a link to update payment details.
26. Trial ending reminder
Sent at 3 days and 1 day before your free trial expires. Includes a link to subscribe.
Administrative emails
27. Ad-hoc email
Landlords can send a custom email to any tenant directly from the property page. The content is written by the landlord — Get Let Flow delivers it with standard branding and the legal disclaimer footer.
Email delivery and logging
- Every email sent is logged in the Email Log (accessible from the sidebar)
- The log records: recipient, email type, subject line, timestamp, and delivery status
- Emails are never sent to tenants without an email address on file
- Scheduled emails run daily at 8:00 AM
